This privacy notice explains how I use your personal information from initial contact through to after your treatments end. Your privacy is extremely important to me, and you can trust that your personal information will be kept safe and secure, used only for the purposes it was provided. I adhere strictly to ethical standards in protecting clients’ privacy and confidentiality.
How I use your information: I will never use your personal data for anything beyond administering your treatments, such as arranging, cancelling, or rescheduling appointments. I will keep your personal information only as long as necessary.
Initial contact: When you reach out to book your first appointment, I will collect a few basic details to process your inquiry. This includes your name, so I can schedule the appointment, along with a contact method like an email or phone number. This ensures I can notify you if I need to cancel due to unforeseen circumstances.
While you are receiving treatments: I may use your email and phone number to send you written appointment confirmations, provided you give consent. These contact details will only be used for appointment-related matters unless you agree that I can send you other relevant information about your treatment session. At your first appointment, I will ask you to complete a personal details form with your email and address. This form is kept securely in a locked cabinet that only I can access.
Third party recipients of personal data: I share a limited amount of personal data with third parties, to fulfil a legal obligation in respect of tax and accounting purposes. For example, my accountant is permitted to access my invoice.
Data Security: I take the security of any data that I hold seriously. I keep brief notes on each session to help guide our work together. These notes track any issues you mention and the treatments provided. They do not include personal data that could identify you and are stored securely in a locked cabinet only I can access. I keep a record of your name, date of birth, and client reference number for several years, in case you choose to return, so I have a record of your treatment history. I do not share your personal information with any third parties; everything discussed is strictly confidential. I will securely dispose of your personal details after a period of 7 years. My email accounts, phones, and laptops are password-protected and have antivirus software. Any email correspondence is deleted after one month unless it needs to be kept; if so, I will print and store it securely in a locked cabinet.
Website visitors: By using the website, you consent to the data collection and use practices described in this privacy notice. Should you choose to contact me using the contact form on the website, none of your data you supply is stored by the site or shared with third parties. Instead, it is sent to me using Simple Mail Transfer Protocol (SMTP). SMTP servers are protected by TLS (sometimes known as SSL) meaning that the email content is encrypted before being sent across the internet. The email content is then decrypted by local computers and devices.
